We are looking for a highly organised, detail-oriented Communications and Administration Assistant to be the welcoming first point of contact for all volunteer enquiries – from potential applicants to our long-standing volunteer team. You will also provide essential administrative and communications support to our Central Volunteering Department and hub teams across all Jewish Care resources.

Our volunteers are at the heart of everything we do. With hundreds of dedicated individuals giving their time and skills, we are committed to ensuring they feel supported, valued, and connected to our mission of providing outstanding care and support to the community.

The Role

This is a varied and rewarding role where no two days are the same. You’ll be the friendly “front door” to the volunteer journey, supporting recruitment, onboarding, and ongoing engagement, as well as ensuring our volunteer database, Better Impact, is kept accurate and up to date. Alongside this, you’ll manage a range of administrative and financial tasks, support departmental communications, and ensure volunteers receive the best possible service from start to finish.

This post is full time working 36.25 hours per week (Monday to Friday)

Key Responsibilities:

  • Act as first point of contact for all volunteer enquiries, providing excellent customer service.
  • Manage day-to-day administration and communications for the volunteering function.
  • Maintain and update Better Impact, supporting users, troubleshooting issues, and improving processes.
  • Support financial and compliance-related administration, including DBS subscription services.
  • Collate data and produce regular volunteer statistics for reports, board meetings, and committees.
  • Coordinate volunteer onboarding – from application forms and training to references and documentation.
  • Provide communications support, distributing bulletins, newsletters, and seasonal messages to volunteers.
  • Liaise with internal departments (Finance, IT, Marketing, Design Studio) and external partners.
  • Support departmental CRM admin volunteers, ensuring they have the tools and guidance they need for Better Impact.
  • Attend meetings, prepare agendas, and take formal minutes as required.

About You

You’ll have exceptional organisational skills, a natural flair for communication, and a genuine passion for working with people. You’ll be confident using IT systems, comfortable managing data with precision, and proactive in improving processes. Above all, you’ll have the warmth and professionalism to make every volunteer feel welcomed and valued.

Essential Skills & Experience:

  • Proven experience in administration, finance, or project coordination.
  • Exceptional customer service and communication skills.
  • Strong organisational and time management skills with meticulous attention to detail.
  • High IT literacy, including Microsoft Office and CRM/database systems.
  • Ability to work independently, manage multiple priorities, and meet deadlines.
  • Experience working in a multi-stakeholder environment.
  • Knowledge of GDPR and its practical application.

Desirable:

  • Business and/or administration qualification.
  • Experience leading volunteers.
  • Experience in social care, community work, or with older/disabled people.
  • Knowledge of the Jewish community and cultural sensitivities.
